Back-office bots for small service companies

You didn't start a business to chase receipts.

We build bots that run the paperwork side of your company, so you can get back to the work you're actually good at.

01 · The problem

The business grew. The paperwork didn't get the memo.

More jobs means more receipts in more inboxes, more invoices to follow up on, and more Sunday nights spent catching up on the books. None of it is hard. It's just constant, and it lands on whoever is closest, which is usually you.

A bot doesn't get tired of it, doesn't forget, and doesn't mind Mondays.

02 · What we take off your plate

The routine stuff. All of it.

  • Expense coding

Card transactions get sorted into the right categories using your rules. You only see the odd ones.

  • Receipt chasing

The bot matches receipts to charges, spots the missing ones, and drafts the "can you send me that receipt?" note.

  • Invoice follow-up

Past-due invoices get a polite nudge on the schedule you choose, written in your voice.

  • Month-end prep

Everything gathered, matched, and flagged before your bookkeeper asks for it.

  • The Monday summary

One short note each week: what came in, what's overdue, what's on the calendar.

  • Scheduling and filing

Appointments get booked and confirmed. Quotes, contracts, and paperwork land in the right folder.

03 · What it looks like

A few of them, in plain terms.

Every bot is built around your business. These are the shape of the thing, not a menu.

  • Example, depends on your tools

    The card swipe

    Trigger
A new charge shows up on the company card.
    What happens
The bot codes it using your rules, looks for the matching receipt in your email, and flags it if there isn't one.
    Outcome
Your books stay current, and you only look at the exceptions.
  • Example, depends on your tools

    The late invoice

    Trigger
An invoice goes a week past due.
    What happens
The bot drafts a friendly reminder to the customer and puts it in front of you.
    Outcome
Nothing gets sent until you say so, and nobody gets forgotten.
  • Example · Gmail, Calendar, Todoist

    The Monday summary

    Trigger
    It's 7 a.m. on Monday.
    What happens
The bot reads the week's calendar, open tasks, and unanswered email, and writes you one short note.
    Outcome
You start the week knowing what matters, without opening six tabs.
  • Example · Gmail, Calendar, Drive

    The new job

    Trigger
A customer emails to accept a quote.
    What happens
The bot files the quote in the customer's folder, finds a time on your calendar, and drafts the confirmation.
    Outcome
The job is booked and the paperwork is in one place before you've read the email.

04 · How it works

Three steps. No surprises.

  1. Talk

About 45 minutes. You tell us where your time goes and which tools you use. We listen, take notes, and tell you honestly what a bot can and can't do for you.

  2. We build and test

We build your bot and try it on real examples first. It drafts and you approve, so you can see how it thinks before it does anything on its own.

  3. You own it

The bot lives in your own accounts, not ours. We stay around to tune it as your business changes.

05 · Privacy

Your business stays yours.

It's a fair thing to worry about. Here's exactly how we handle it.

Whose accounts does the bot use?

Yours. You connect your own accounts, like your email, calendar, and files, and the bot works inside them.

Do you have my passwords?

No. We never hold your passwords. You sign in to each app yourself and choose what to connect.

Will the bot send, pay, or order things on its own?

Not until you approve it. Nothing is sent, paid, or ordered without your okay. The bot drafts and you decide.

Can I turn something off later?

Yes. You can disconnect any app at any time, and the bot loses access to it.

Which tools does it work with?

We've built and tested with Gmail, Google Calendar, Google Drive, Slack, Todoist, and Granola. Other tools may work too. We'll tell you plainly which ones we've confirmed and which we haven't before you commit to anything.

06 · Our point of view

We care about the work, not the hype.

You've heard enough about robots taking over the world. We're more interested in the robot that finally files your receipts.

We'll tell you when a bot is the wrong answer. We'll start small, show you it works, and only then add more. If a task needs a human, it stays with a human.

That's the whole pitch. It's not very exciting. Your books will be, though, in the sense of being finished.
